Terms and Conditions of Sale and Service – Hoff Group LTD
1. DEFINITIONS
1.1 The "Company"
The “Company” refers to Hoff Group LTD.
1.2 The "Customer"
The “Customer” refers to the purchaser of goods or services from the Company.
1.3 The "Order"
The “Order” refers to any confirmed request for the sale of goods or services by the Company to the Customer.
1.4 The "Goods"
The “Goods” encompass all items forming the subject of the Order, including parts, components, and materials incorporated with them.
2. DELIVERY
2.1 Delivery Terms
Orders are generally dispatched within an estimated delivery time of 3-8 weeks across mainland UK, starting from the payment receipt date.
2.2 Delivery Times
Deliveries occur between 8:00 a.m. and 6:00 p.m.
2.3 Delivery Site Access
It is the Customer’s responsibility to ensure adequate access to the delivery site via a safe, hard road. The Company reserves the right to refuse delivery if the site is deemed unsafe.
2.4 Unloading
Adequate assistance must be provided for unloading. Goods are delivered to ground-floor level only, and the Company accepts no liability for the unloading, storage, or security of goods on site.
2.5 Non-Delivery Due to Absence
The Company is not responsible for delivery delays caused by the Customer’s absence. Customers unable to accept delivery on the scheduled date must inform the Company at the time of payment. Failure to accept delivery may incur a 25% handling fee and any applicable redelivery charges.
2.6 Storage Fees for Delayed Delivery
Risk in the goods passes to the Customer when they, or their agent, receive the goods. If goods are undelivered due to absence, a daily storage fee of £50 may apply until redelivery can be arranged.
2.7 Quality & Quantity Check Upon Delivery
It is the Customer’s responsibility to inspect the goods immediately upon delivery. Claims for defective or damaged goods must be made prior to installation. By installing the products, the Customer accepts them as meeting the order specifications.
3. PRICING
3.1 Current Pricing
All prices are accurate at the time of confirmation but are subject to change and availability.
3.2 Invoices
Goods will be invoiced at the current prices at the time of dispatch. Invoice disputes must be addressed immediately upon receipt.
3.3 Price Adjustments
In the event of pricing errors, the Company reserves the right to notify the Customer and offer the option to proceed at the corrected price or cancel the order.
4. PAYMENT
4.1 Accepted Payment Methods
Payments can be made by Cheque, Postal Order, Banker’s Draft, Cash, Debit, and Credit Cards.
4.2 Payment Date
The payment date is the date on which the Company receives the funds.
4.3 Unpaid Orders
The Company reserves the right to reclaim unpaid goods from the Customer’s premises, including laid flooring, and to pursue legal and additional recovery costs.
5. ORDER CONFIRMATION
Upon receiving an order, the Company will send a written confirmation by email or by phone.
6. WARRANTY
6.1 Commercial Warranty
Hoff Group LTD offers a 5-year warranty on structural integrity and finish for products installed in commercial applications, subject to proper installation and maintenance. The warranty covers any defect or wear-through, defined as a 100% reduction of the Surface Wear Layer over 5% of the total floor area installed.
6.2 Maintenance Requirement
The warranty remains valid if the flooring is maintained according to the manufacturer’s recommendations. Any exposure to extreme moisture or improper maintenance voids the warranty.
6.3 Seasonal Adjustments
Wood is a hygroscopic material and may expand or contract due to seasonal moisture changes. Minor separation is expected and is not considered a defect.
6.4 Oil and Finish Maintenance
Flooring finishes are covered for significant defects post-installation, excluding standard wear and tear. Special care is required for oil-based finishes, which necessitate re-oiling as advised by the Company.
6.5 Warranty Exclusions
The warranty does not apply to second-choice or promotional items, nor does it cover damages due to improper installation, unsuitable subfloors, or environmental extremes.
6.6 Hand-Finished and Handmade Products
Hand-finished and handmade products require additional attention post-installation. Customers must follow specific maintenance instructions for these items to retain their appearance and integrity.
6.7 Underfloor Heating
The Company is not liable for any flooring laid over underfloor heating that exceeds 26°C or for abrupt temperature changes.
7. RETURNS & REFUNDS
7.1 Returns of Non-Faulty Goods
Non-faulty goods can be returned within 7 days of receipt in unopened, original packaging. Returns are subject to a 30% restocking charge and return carriage costs.
7.2 Refund Policy
Refunds are processed within 30 working days of the cancellation notice. Delivery and return costs are non-refundable.
7.3 Special Orders
Custom or bespoke orders are non-returnable.
8. DAMAGED OR DEFECTIVE GOODS
Customers must inspect goods upon delivery and report any defects immediately. Installed flooring is considered accepted as-is, and no claims will be accepted thereafter.
9. FLOORING SERVICES
9.1 Service Start Date
Flooring services commence upon confirmation of the start date and cleared payment for materials (where applicable).
9.2 Additional Work Charges
Additional work outside the original quotation will incur an extra charge, with a minimum fee of £450.
9.3 Service Cancellation
Customers may cancel booked services by written notice no later than 2 working days before the scheduled date. Late cancellations incur a fee of £350.
10. PRODUCT VARIABILITY
10.1 Natural Variability in Wood Products
Wood is a natural product, and each section of flooring is unique. Variations in wood grain, texture, and colour are natural and expected.
10.2 Wood Grades
Customers should inquire about the grading and storage conditions of wood products before ordering.
